St. Anne’s-Belfield School Parents’ Association Executive Board Positions
President - The President will preside at all meetings of the Parents’ Association (PA) and the Executive (Exec) Meetings of the PA; serve as a liaison between the PA, Board of Directors, faculty and administration; ensure appointment of chairperson of PA positions and committees; lead PA budget and development, together with the Treasurer and Vice President; serve as ex-officio member of all committees; obtain School approval for all contracts and other writings at the direction of the PA; partner with the Head of School and meet monthly and work together with Division Coordinators and Grade Level Representatives (GLRs) to fulfill their agendas. The position of President is a two-year term and will work with the Head of the School to identify the role of the next Vice President.
Vice President - The Vice President shall, at the discretion of the President, preside at meetings of the PA and the Exec meetings of the PA in the absence of the President; serve at the discretion of the President as the PA representative to meetings of the faculty and administration; attend as necessary any meetings of the PA committees and report to the President any information from these meetings; and generally assist the President of the Parent Association. The position of Vice President is a one-year term and has the expectation to become President, which is a two-year term.
Past President - The Past President serves on the Executive Committee for one year following their presidency. This is an “at large” position and they are simply there for historical knowledge and do not get a vote.
Secretary - The Secretary is responsible for taking the minutes at the Exec meetings and emailing copies to the PA Exec Committee as well as saving the minutes in a PA folder to be emailed to the President at the end of his/her/their term. The Secretary also keeps attendance of the Exec, Board and General Parents’ Association meetings. The position of Secretary is currently a one-year term and will work with the President to identify the role of the next Secretary.
Treasurer - The Treasurer will develop the PA’s annual budget together with the President. The Treasurer will act as the liaison with the parent volunteers regarding authorization for expenditures and reimbursements of PA funds as per School and PA policies and procedure. The position of Treasurer is currently a one-year term and will work with the President to identify the role of the next Treasurer.
Division Coordinators - The Division Coordinator shall work with and mentor Grade Level Representatives (GLRs) and Senior Parents; meet early in the school year with School administrators to determine what kind of support would be most helpful and continue to meet throughout the school year; host Divisional Coffees, by division, in the fall together with the Head of the School and the Division Head; communicate with GLRs to solicit their support for school activities; compose and send monthly emails, with Division Head approval, to promote PA, School and student activities. The Division Coordinator position will consist of a maximum of two Division Coordinators per division (Preschool, Lower, Middle and Upper) and can be up to a two-year term. The Division Coordinator will work with the President to identify the role of the next Division Coordinator.
St. Anne’s-Belfield School Parents’ Association General Board Positions
Grade Level Representatives - GLRs facilitate communication between the parents and teachers, the School administration and the PA. Up to two parents are assigned to each grade in Pre-School, up to three parents are assigned to each grade in grades K-4, up to two parents are assigned to each grade in grades 5-8 and up to four parents are assigned to grade 12 (Senior Parents). GLRs support the teachers in needs that may arise throughout the year, and coordinate opportunities to participate in many classroom activities and parent get-togethers.
GLR duties include, but are not limited to:
- Communicating with teachers and families regarding pertinent grade-level information or activities.
- Acting as a contact person for each grade level to welcome new families, respond to parent questions, etc.;
- Coordinating parent volunteers for class or grade level events and celebrations;
- Hosting K-8th grade Parent Evenings or Coffees in the fall (by grade level);
- Attending Curriculum Night and other PA sponsored activities as available;
- Organizing and emailing Sign-Up Geniuses;
The GLR will work with the Division Coordinators to identify the role of GLR for the following year.
Saints Closet Chair - The Saints’ Closet Chair manages all aspects of the uniform consignment store. Duties include, but are not limited to, overseeing uniform intake, organizing store room, planning sale dates, ordering store supplies, assisting in recruiting volunteers, pricing and tagging clothes, reporting sales’ revenues to PA President and Treasurer and coordinating with the School Business Office to send annual consignment payout to parents who have consigned uniforms. Saints’ Closet is the PA’s largest fundraiser. The Saints’ Closet Chair has a minimum term of two years and will work with the President to identify the next Saints’ Closet Chair.
Class Photos Chair - The Class Photos Chair works together with the four Divisional Assistants and the professional photography company to schedule, plan and execute photos for class pictures. The Class Photos Chair can be a multi-year term position and will work with the Division Coordinators to identify the role of the next Class Photos Chair.
Grandparents and Special Friends Day Co-Chairs - The Grandparents and Special Friends Day (GSFD) Co-Chairs support the Lower School Division Head and Art Department Chair by recruiting volunteers, preparing and mailing invitations, and planning refreshments for Grandparents and Special Friends Day. The GSFD Co-Chairs can be a multi-year term and will work with the Lower School Division Coordinators to identify the next GSFD Chairs.
Faculty and Staff Appreciation Co-Chairs - The Faculty and Staff Appreciation Committee plans and organizes school-wide faculty and staff appreciation efforts. The Co-Chairs will coordinate a committee of volunteers to plan, organize and execute their initiatives. The PA President will give the Co-Chairs an annual budget and will need to approve the committee's plans. The Faculty and Staff Appreciation Committee can serve a multi-year term and will work with the Division Coordinators to help identify next Faculty and Staff Appreciation Co-Chairs.
Library Co-Chairs - The Library Co-Chairs work with the librarian to determine volunteer needs in the library. The Co-Chairs will coordinate with GLR’s to recruit volunteers by grade level and set up Sign-Up Geniuses as needed. Volunteer responsibilities generally include shelving books, checking out and returning books and assisting children with selections. The Library Co-Chairs can be a multi-year term and will work with the Lower School Division Coordinators to identify the next Library Co-Chairs.
Saints Cares Co-Chairs - The Saints Cares Co-Chairs will work with all members of the Parents’ Association to provide support (flowers, cards, meals) as needed to Parents, Faculty and Staff in times of need. The Saints Cares Co-Chairs can serve a multi-year term and will work with the President to identify the next Saints Cares Co-Chairs.
